Halden municipality requests tenders for the provision of services for clearing, organisation and digitalisation of the building application files, agricultural files, surveyor's certificates of area measures, section cases, surveying and sectioning archives as well as planning archives.

Halden municipality carried out an archive analysis in 2017. The archives subject to digitalisation were surveyed and registered The archive analysis document is attached to the tender documentation - see annex1, attachment 2. As a matter of form, we inform that the archive files ‘FDV og prosjektarkiv VA‘ (‘MOM and the project archive Water and Sewage’) shall at the present not be digitised but priced as an option. Also note that ‘Kontraktsarkiv’ (‘the Contract Archive’) shall not be digitalised.

Halden municipality has procured the archive core system from Documaster. This core must be used for this assignment.

Description of the archives subject to digitalisation:

— building applications: 129 metres. Case files archived as hanging folders in filing cabinets with drawers as well as filing boxes (big cases). Deviations from the stated scope may occur.

Agricultaral files: 17 metres. The archive has recently been subject to clearing. Case files archived as hanging folders in filing cabinets with drawers.

Logging roads: 3 metres. The archive has recently been subject to clearing. Case files archived as hanging folders in filing cabinets with drawers.

— surveyors' certificates of area measures, section cases, surveying and sectioning archives: 49 metres. Surveyors' certificates of area measures in folders, arranged in accordance with years Section cases, survey cases and sectioning cases are archived in filing cabinets with hanging folders and sorted by cadastral numbers and title numbers (leasehold unit numbers / unit numbers). Deviations from the stated scope may occur.

Planning archive: 19 metres. The archive has recently been subject to clearing. Zoning plans are archived in hanging folders in filing cabinets with drawers, as well as in binders in shelves.
