2017-98 - Storing and moving of historical archives

The procurement as a minimum includes packing of the archive material in Akershus fylkeskommune’s premises in Galleri Oslo, moving of the archive material to the archive premises and set up of this archive material in suitable premises at the tenderer. There shall also at least be a possibility to ‘lend’ the archive material back to Akershus fylkeskommune following such a move. The move shall begin as soon as the agreement is signed with the selected tenderer.
The contracting authority has currently estimated the scope of the archive to be about 1 350 shelf metres of conservation archives, some of these shelf metres consist of copy books and protocols, but the majority of the material is in archive boxes.
The contracting authority’s need to store historical material is increasing. The tenderer shall be in a position to receive a steadily increasing number of shelf metres. There is an estimated potential increase of material per year of 100-500 shelf metres.

The agreement will as a minimum apply to the municipality’s central archive, the sixth form colleges in the county, the dental health service and other county municipal organisations.

It will also be possible to extend the agreement by submitting offers on an option of one more permanent depot solution for the county municipality’s paper based material, see option one. The contracting authority also wants tender offer on option to have public services performed in the agreement, storage of electronic archive backups and any destruction when the material has reached an age where destruction can be performed.

Option 4 — Transport to the archive depot.

Beskrivelse av fornyelser:
The contracting authority can prolong the agreement on identical terms for 1< year at a time, in maximum four years. The prolongation shall be notified in writing 3 months prior to the contract conclusion. After the expiration of the last prolongation period, the agreement will be in force with a mutual notice period of 6 months.
