Procurement of a hand-in and sorting system for a library

Tønsberg and Færder library is owned by Tønsberg and Færder Municipalities and is a inter-municipal entity, with Tønsberg Municipality as the host municipality. The two municipalities have a total of approx. 84,000 inhabitants.
The hand-in and sorting system at the main library in Storgata 16 in Tønsberg is the third system of this type that has been in use since the library opened in 1992. It is now time for a replacement. The library currently uses the Bibliofil library system, but a process has been started to procure a new library system in cooperation with other libraries in Vestfold and Telemark. The vending machines that will be procured must be compatible and have full integration with Bibliofil, possibly another, new library system.
Loans and hand-ins are mainly based on self-service via a hand-in vending machine with a sorting function, as well as three loan vending machines. It is the hand-in and sorting system that is to be replaced.

The procurements includes:

- 1 hand-in machine with a sorting function with minimum 21 sortings, minimum three slots, two for the public, one for personnel, ready assembled and tested.

- trolley with ergonomic design

- extra trolleys

- service contract for the hand-in and sorting system

- necessary training and documentation

The hand-in and sorting system must handle a capacity of approx. 400,000 hand-ins a year. This is based on first time loans of physical units, 2019 figures, with a mark-up as some material is run through the vending machine several times, plus potential growth.

All the physical material has a RFID chip, based on the Norwegian standard.
