Service and maintenance of ventilation systems

The Agency for Urban Environment's City Operations Division is responsible for operations and management of all ventilation systems, supply air and exhaust fans etc., which are installed in the Agency's buildings. The buildings consist of, amongst others, sports halls, ice halls, changing room buildings, public bathrooms, stadium facilities and sports lodges in the forest. In total there are approximately 125 units, from small, compact ventilation systems to large ventilation systems with dehumidifier units/air-conditioning plants with Central Operations Monitoring (Central processing systems), to individual systems with only air supply and exhaust fans mounted in the wall/ceiling. The largest sport facilities have several different ventilation systems which serve one or more specific rooms or areas/spaces. The ventilation systems in the Agency's buildings need service and maintenance 2 times per year (every 6 months). Technical personnel at the Agency for Urban Environment do not have the capacity to be able to carry out these services and maintenance themselves. There is therefore a need to set up a Service and Maintenance agreement for ventilation systems with a ventilation business in order to have this work carried out. In addition to service and maintenance, the agreement will cover written service reporting, supply and exchange of air filters and fan belts as well as delivery, repair, overhauling and replacement of parts or components that are about to breakdown or have already broken down/failed.

The works to be carried out include inspection of electric motors, fans, dampers, damper motors, air filters, belts, rotary heat exchangers, electric heating coils, hydronic heating coils, cooling coils, pressure drop measurements for air filters, coils and heat recovery units, automatic and controlled units, regulators, frequency converters, tap changers, sensors, shunt motors, thermostats, frost protection, valves, pumps etc. Air filters should be replaced once per year. External and internal ventilation grills/covers are cleaned (vacuumed) once per year.

After each service and maintenance assignment, a service and maintenance report shall be sent to the Agency for Urban Environment. The service and maintenance reports shall give the Agency for Urban Environment a detailed overview of the status of the ventilation systems and shall also be able to reveal any deficiencies in the ventilation systems.

Internal cleaning of ventilation systems and associated air ducts shall be included as an option in the agreement, and may be used if the ventilation systems require this. See Appendix 1, Requirement Specification, for a supplementary overview and details of what shall be carried out.
